Conference Room 325 is a third-floor conference room in Miller Nichols Library, ideal for meetings, trainings, or events. Libraries staff have priority use of the space. UMKC-affiliated groups may request to use Conference Room 325 with at least two weeks’ advance notice, Monday – Friday during library open hours. Student groups may not use the room. Requests are considered on a case-by-case basis.
Uses and Eligibility
- If Conference Room 325 is not reserved for library instruction or use by a Libraries group, UMKC-affiliated groups may request to reserve the room at no cost.
- UMKC student organizations may not use Conference Room 325. Student organizations should locate a room for their event or meeting using Roo Groups or by contacting the UMKC Office of Student Involvement.
- The room is not available for non-UMKC-affiliated events.
- Each request will be considered on a case-by-case basis; repeat scheduling is not guaranteed.
- The room may be used by external groups for meetings, trainings, retreats, or events.
- The room may not be used for academic instruction not led by Libraries staff, student groups, testing, or multi-day trainings.
Availability
Monday – Friday during library open hours. At least two weeks’ advance notice required. View the room reservation system to see if your desired date and time are available.
Capacity
Conference Room 325 has 14 tables, 28 rolling chairs, and many static chairs available for use. The maximum capacity for the room is 65 people. Capacities:
- Auditorium style: 60 people
- Classroom style-front facing: 28 people
- Classroom style-pods: 42 people
Technology
Conference Room 325 is an Innovative Learning Environment (ILE) classroom with an instructor’s station at the front. The ILE setup includes:
- Podium with a PC, display with webcam, touch panel control, podium mic and document camera
- Handheld and lapel mic
- Ceiling projector and pulldown screen
- Ceiling video camera angled toward the projector screen
- Web camera angled toward the presenter that can be turned to face the room
- Mic speakers on either side of the project screen
UMKC Information Services (IS) provides support for technology and wireless connectivity on campus Monday-Friday, 8am-5pm. Contact IS at (816) 235-2000.
Group Responsibilities
Upon arrival your group representative should come to the Miller Nichols Library first floor Service Desk, where a staff member will open the room for your group and direct you to any supplies you may need.
Your group is responsible for:
- Setting up the area. chairs and tables are available for your use, and the room may be divided in half.
- Notifying the Library if food and/or drink will be present at the event. Library staff must be informed of the food before the event so custodial services can give the room special attention after the event. Food and drink must be kept inside the room during the entire event.
- Limiting all use, including registration of attendees, to Conference Room 325 only. The group is encouraged to supply signs directing participants to the room at the north and south entrances and on the third floor. It is suggested that the group’s staff should be positioned at the entrances and on the third floor to direct their members to the room.
- Never leaving the room unattended if it is unlocked.
- Cleaning up after the event. This includes making sure all food is out of the space and tables are clean and ready for re-use.
- Arranging for catering, including meeting and escorting food delivery personnel to the room quietly and discreetly, so as not to disturb students who are studying and working in the library.
- Arranging for A/V equipment needs. 325 is an ILE classroom with an instructor’s station available. Electrical outlets, a ceiling-mounted projector, a retractable screen, a wall-mounted whiteboard, and a phone jack are available in the room. If required, a conference call phone may be borrowed from the Administrative Office if not already reserved.
- Advising Miller Nichols Library Service Desk staff when the event has ended, so they can lock the room. Advise the library quickly of any spills or damage that occur during your event.
- Notifying the library if your event is cancelled so that we can release the space to other uses.
Request to reserve
In the reservation system, choose the date and times you would like to reserve the room. Reservations open two weeks from today. Click Submit Times and complete the request form. You will receive a confirmation email indicating that your request was submitted successfully. Library staff will review the request. You will receive a separate email approving or denying your request. Contact LibraryAdmin@umkc.edu with questions.
All requests will be reviewed on a case-by-case basis. University Libraries cannot guarantee repeat scheduling for any group.
